Workcube ERP consulting and implementation
Version 1.0 — Last updated:
Who implements Workcube ERP? Workcube is implemented by Workcube partners; Gramoni is one of them, based in Istanbul. Project length depends on module scope and the number of processes, and is fixed in writing in the first phase, before the contract.
Gramoni is a Turkey-based Workcube partner that implements Workcube ERP, a Turkish ERP platform, from selection to live use. The work covers process design, configuration, master-data migration and user training, and follows Workcube's eight-phase implementation methodology with a written output at every phase.
What are the phases of a Workcube implementation?
Workcube's methodology has eight phases, and each one ends with a written output.
- Selection: needs analysis, a proof-of-concept workshop, scope, budget and timeline, contract.
- Planning: project team, key users, kick-off.
- Technology setup: subscription and licences, servers, live and test environments.
- Design: process analysis, workflow diagrams, fit-gap analysis, sign-off of the conceptual design.
- Configuration: master-data migration, parameters, screen and process settings, reports, integrations.
- Go-live and training: training, a go-live checklist, phased cut-over.
- Support: intensive support in live use.
- Sustainment: security, data protection, performance, continuous improvement.
What you keep at the end of the project
- Scope and timeline
- Authorisation matrix
- A conceptual design document for each process
- Workflow diagrams
- Master-data migration files
- Acceptance tests
- A monthly status report in live use
Who does what
We configure; you decide, provide data and test
Gramoni sets up screens, parameters and process settings. You decide how each process should run, and your key users test it.
We give the data template; you give the data
For each data type we provide a migration template, and you fill it with your own data.
Every process is designed in writing and signed off by you
Configuration does not start before the conceptual design document is approved.
A parallel run before full cut-over
During go-live, records can be kept in the old system and Workcube in parallel for a period.
The project can run in English
Gramoni can run the project in English, in Turkey or abroad.
Which Workcube modules?
Finance and accounting, CRM, HR, sales and distribution, and materials and production. Which module comes first is decided in the Selection phase and written into the scope.
What if Workcube needs custom code?
Customer-specific code is packaged as a separate module, and Workcube's standard code is never modified, so Workcube updates stay open to you. Our stack: CFML (ColdBox, Lucee, Adobe ColdFusion), TypeScript (NestJS, React), PostgreSQL, MSSQL, MySQL, PWA and REST.
Industries
Logistics, furniture, packaging, retail, construction, IT, automotive, chemicals and pharma, and textiles.
How to choose an ERP consultant in Turkey
Large IT projects often drift. McKinsey and the University of Oxford studied more than 5,400 IT projects and found that large ones ran on average 45% over budget and 7% over time, while delivering 56% less value than predicted (McKinsey, 2012). Flyvbjerg and Budzier's study of 1,471 IT projects found an average cost overrun of 27%, but one project in six overran its cost by 200% on average (Harvard Business Review, 2011).
The main causes are rarely technical. In PMI's 2017 survey, the top reason projects failed was a lack of defined objectives and milestones (37%), and an actively engaged executive sponsor was the top driver of success. A 2025 systematic literature review of ERP implementations in a Turkish academic journal points to the same factors: scope management, risk analysis, resource planning, top-management support, change management and user training.
That gives five questions to ask any Workcube consultant in Turkey:
- Are the scope and success criteria written down before work starts? At Gramoni, scope, budget and timeline are written in the Selection phase, and that text goes into the contract.
- Is the consultant a Workcube partner? According to Workcube, its partners sell, implement, customize, develop and verticalize Workcube products. Workcube's academy certifies implementers, and the certificate is valid for 24 months. Ask which team members hold one.
- Who is the executive sponsor? Without a decision-maker in the project team, scope creeps.
- Is there a training and cut-over plan? At Gramoni, training, a go-live checklist and phased cut-over form a phase of their own.
- Does custom code touch the standard code? If it does, every Workcube update means rework.
Frequently asked questions
What does a Workcube partner do?
A Workcube partner implements and configures Workcube ERP for a company. Gramoni follows Workcube's eight-phase method. It designs each process in writing, migrates master data, trains users and supports the company after go-live. Where custom code is needed, it is written as a separate module.
How long does a Workcube rollout take?
It depends on which modules you use and how many processes need to be designed, so a single figure would be misleading. Scope, budget and timeline are written down in the first phase, Selection, and that written scope goes into the contract. If the scope changes later, the change is recorded in writing too.
Can we migrate data from our current system into Workcube?
Yes. Master-data migration happens in the Configuration phase. Gramoni provides a template for each data type, you fill it with your own data, and the completed files are checked, loaded into Workcube and verified with acceptance tests. A parallel run with the old system is possible during cut-over.
Will custom modules break future Workcube updates?
No. Gramoni never modifies Workcube's standard code. Customer-specific code is packaged as a separate module, so when Workcube is updated the standard code changes and your module stays in place. Updates stay open to you.
Do you work in English with international teams in Turkey?
Yes. Gramoni can run a Workcube project in English, which suits international companies operating in Turkey and foreign managers of Workcube-using companies. Gramoni can also take on Workcube projects outside Turkey. The eight phases and their written outputs stay the same whichever language the project runs in.
What support do we get after go-live?
The first period after go-live is the Support phase, with intensive support while users settle in. The Sustainment phase follows, covering security, data protection under the Turkish Personal Data Protection Law (KVKK), performance and continuous improvement. A monthly status report is produced during live use.
